TRUSSARA / QUICKBOOKS CONNECT & RECONNECT

Connect the right company. Review before you send.

Start from your signed-in Trussara company, authorize the intended QuickBooks Online account, then review your mappings and accounting workflow before sending records.

This public guide does not connect an account or display private connection status. Open Trussara, select your company and use its authenticated Connect QuickBooks or Reconnect QuickBooks control.

Company access and readiness

Check these prerequisites first

  • Correct Trussara company: sign in as yourself and select the organization whose accounting you intend to manage.
  • Current owner/admin access: provider administration requires the appropriate company role, current session and applicable authenticator/security verification. An accounting-role permission alone does not grant provider management.
  • Applicable accounting access: connection/write features require Business or higher access, or an applicable separately authorized entitlement.
  • Authorized QuickBooks account: use an Intuit account permitted to authorize the intended QuickBooks Online company. Provider edition, subscription, permissions and supported locale/tax/currency setup affect available tools.
  • Completed integration setup: the app operator must configure the provider and its environment. If Trussara reports missing setup, ask your company administrator or support to resolve it.
  • Review of existing work: check earlier connection history and uncertain operations before starting another authorization attempt.

You do not need a project to enter or connect. Owners/admins can open the company’s Accounting & Payroll workspace even with zero projects. Sending project-source records separately requires an active project and eligible records.

This connector uses an existing QuickBooks Online company; it does not create a QuickBooks company for you. QuickBooks services and charges are separate from Trussara plan access.

Start in the app

Connect through your authenticated workspace

  1. Open the company workspace.
Choose Accounting & Payroll in the main navigation, or Command Center’s QuickBooks & Gusto shortcut.
  2. Review the QuickBooks card.
Check saved status, environment and previous history. Select the available Connect QuickBooks or Reconnect QuickBooks button. Its label depends on the current saved state.
  3. Confirm the environment.
Sandbox configuration displays an explicit Continue to sandbox confirmation. Use it only for intended testing. Ask the app operator about production setup when you need a live business connection.
  4. Complete Intuit consent.
The app opens Intuit authorization externally. Review the app identity, intended company and requested access. Authorize only if you have authority for that company.
  5. Return to Trussara manually.
The browser can show Connection request completed or Connection needs another attempt. Open Trussara again; the flow does not automatically navigate to its accounting screen.
  6. Refresh and review.
In the same intended company, use Refresh provider connections. Review the saved company name, environment, status and any explanation before opening tools or preparing records.

Opening a page is not evidence of a completed connection. A browser result message is guidance, not a private company receipt. Trussara’s refresh reloads its saved connection/setup; it does not immediately certify every later authorization change made in Intuit. Read the current app information and resolve errors before continuing.

Connecting does not itself send invoices, expenses, bills or payroll. Record selection, preview, review and explicit financial confirmation are separate steps.

If Open Trussara does not launch the installed app, open it from your device’s app list. The button does not select a company or sign you in. If the app is not installed, use your organization’s authorized store release or testing invitation.

Choose the supported workflow

Review mappings and selected accounting records

For simple project-source synchronization, choose Review mappings on the QuickBooks card. In QuickBooks mappings, configure the complete invoice pair, the complete expense pair or both, then choose Save mappings.

Mappings for the simple project-source path
Record typeMapping controlsSupported scope
Issued project invoices Invoice customer
Non-taxable service/item
Eligible non-taxable USD invoices represented by one reviewed service line for the total. Embedded tax, discount, other-charge or payment-credit treatment requires another supported workflow.
Already-paid costs / receipts Already-paid expense account (bank/card)
Expense category account
Eligible reviewed USD, non-labor manual costs or receipt postings already paid. This path uses gross expenses without separate/recoverable-tax accounting. It excludes unpaid bills, payroll and claims awaiting reimbursement.

Check the actual customer/project relationship and account classification; similar names are not enough. This mapping screen selects existing provider resources and does not create missing customers, vendors, items or accounts. Resolve missing or unsuitable resources in the relevant provider/company setup.

Preview eligible project records

Choose Preview selected records, then select the project and Issued invoices or Already-paid expenses / receipts in Choose sync source.

The current picker offers the latest 200 eligible sources and lets you select up to 10 for a preview. Review the company, environment, mappings, source versions, currency and amounts before Confirm and send selected records.

Use detailed QuickBooks tools

Open QuickBooks tools opens the Finance workspace for supported Create invoice, Create vendor bill, Record bill payment and Financial reports workflows.

Eligible saved operations also offer draft review, amendments and provider-result checks. Supported taxable or other currency/locale work belongs in the detailed workflow, subject to company settings and permissions.

Review what each action does. Recording a bill payment documents a payment already made; it does not initiate a transfer. Creating an invoice record does not automatically email it, collect payment or create a payment link. Separate currency groups do not perform foreign-exchange conversion.

See the QuickBooks Launch guide for the accounting-tool overview. Your authorized company representative or accountant remains responsible for classifications, tax treatment and financial decisions.

A new authorization needs a new review

Reconnect without duplicating earlier work

Use the current in-app connection control when you intend to restore or renew access. Start a fresh authorization from the correct signed-in company rather than reusing a saved consent link or OAuth return URL.

  • Resolve uncertain work first: use Check provider result where available and preserve the original operation/reference. A timeout does not prove a financial action failed.
  • Keep the company binding deliberate: reconnecting does not silently replace the linked QuickBooks company. A different company or environment can require confirmed disconnection of the prior binding and operator review first.
  • Recheck mappings and eligibility: review the current company resources and source records before creating a new preview or authorizing another write.
  • Preserve historical operations: connection changes can invalidate older drafts, reviews or result-check claims. Follow any instruction to reconcile in the original QuickBooks account.

Reconnection does not settle previous outcomes. It does not reverse entries, automatically resend records, restore canceled source-sync jobs or make old reviews valid. Compare unresolved records in the original QuickBooks company and contact support before creating replacements.

If your intention is to keep access withdrawn, leave it disconnected. Use the After disconnection guide for revocation, retained-history and status-mismatch questions.

When a step is blocked

Connection troubleshooting

I cannot find Accounting & Payroll or the connection button

Check your installed app version, selected company and current owner/admin access. Use the main Accounting & Payroll navigation entry or Command Center’s QuickBooks & Gusto shortcut. Read any plan, role, security or provider-setup explanation. Creating an unrelated project will not resolve a missing company entry or provider configuration.

The button is disabled or setup is unavailable

The operator must complete the integration’s server/provider setup. Ask your company administrator or Trussara Support to review the displayed reason, then refresh. Customers should not paste provider secrets into this page, share credentials or invent a callback URL. Opening this guide does not complete missing setup.

It offers sandbox, but I need my live company

The environment is configured by the app operator. Choose Continue to sandbox only for intended sandbox testing. If you need production, stop and ask about the correct production configuration. Authorizing a sandbox company is not evidence that your live business connection is ready.

I canceled consent, closed the browser or authorization did not open

Return to Trussara and review the saved status/history before another attempt. Canceling or closing consent does not guarantee the prior connection remained active; authorization may already be incomplete. Start a fresh in-app attempt when appropriate, or ask support if an incomplete authorization needs disconnection. Do not reuse or share an old consent/callback URL.

The browser says completed, but I am not back in the app

The reviewed flow shows a separate browser result message and asks you to reopen Trussara manually. Return to the same intended company, open Accounting & Payroll and refresh. Review the saved company/environment and any error. A public result URL alone cannot establish private company status.

I changed company or signed into another account during consent

The authorization is tied to its original company/session. Switching accounts or company can invalidate that request. Reopen the intended workspace, review its saved status and begin a fresh authorized attempt if needed. If you selected a different QuickBooks company, follow the app’s disconnect/company-binding explanation rather than repeatedly retrying.

Mappings or records are missing after connection

Confirm the correct QuickBooks company, current permissions and eligible provider resources. Configure a complete invoice mapping pair, expense pair or both. For source sync, select an active project and eligible issued invoices or reviewed already-paid expenses. The picker is limited to recent eligible sources; connection alone does not import every record or create missing provider resources.

Does connecting QuickBooks also enable Gusto payroll?

No. Gusto has its own authorization, access, setup and workflow. Approved-time synchronization is separate from approved Gusto Embedded Payroll. A QuickBooks connection does not authorize payroll, bank payments or another provider.

Informed authorization and practical help

Understand access and keep support evidence safe

Review the Privacy Policy and Terms of Service before authorizing. The integration can process company/resource identifiers, mappings, selected accounting records, reports and provider results. Access/refresh credentials are encrypted and held server-side for authorized backend use.

Veltrana processes authorized QuickBooks information to provide Trussara to the Customer, not on Intuit’s behalf. QuickBooks is also subject to Intuit’s applicable terms and privacy practices. For general provider-side app management, see Intuit’s integration guidance.

Owners/admins can use QuickBooks Disconnect inside Trussara to attempt authorization revocation. Confirmed completion clears saved credentials/mappings and cancels pending preview/queued source-sync jobs; unconfirmed revocation retains the encrypted connection for retry. Existing accounting records and necessary history are separate.

Disconnection does not cancel subscriptions, delete your Trussara account or disconnect Gusto. Use After disconnection or Account & Data Deletion for those separate processes.

For connection support: send your app version/build, company role, environment, timestamp/time zone, action attempted and a redacted error/reference. Describe where the process stopped. Do not send passwords, tokens, API keys, OAuth-return links/codes, bank details or full accounting/payroll records.
